Administrative Receptionist - Beacon Hill

About the Job
Leading Global Merchant Bank located in Midtown East, Manhattan is seeking to hire a Temp-to-Perm Receptionist to add to their team! This position is backfilling a promotion, and will sit as one of two points of contact at the front desk. Requiring 5 days/week on-site, hours are 8:30/9am-5:30/6pm with Paid OT as needed. This is a great opportunity to join a team of tenured, supportive admins with a growth path within the firm!
Responsibilities:
- Receptionist Duties: Greeting guests, showing them to meetings, offering refreshments and cleaning up after meetings
- Coordinating with building security for external guests
- Managing schedule for conference rooms
- Ordering and setting up catering in the office/cleaning up after meetings
- Answering main reception line - taking messages - directing inquiries to the appropriate internal department (as well as afternoon PT coverage of east coast phone lines)
- Setup video conference and presentations for meetings when needed
- Printing/binding as needed or for meetings
- Ordering groceries for the pantry and keeping the pantry stocked and tidy
- Ordering office supplies for the office such as paper/ink and toner, and making sure supply room is orderly/printers loaded with paper, etc…
- Helping to arrange for general office maintenance such as periodic office window/rug cleanings
- Liaising with various vendors such as Nespresso, Fresh Direct and the building management company
- In person office attendance a requirement Monday - Friday
- Administrative Assistant Duties: Supporting the junior team in NY (Analysts, Interns)
- Adaptability to support more professionals if the team expands
- Handle expenses - process in a timely manner in accordance with company policy via Concur
- Printing/binding marketing material and presentations ahead of meetings
- Processing business visas when needed
- Ad hoc projects
- Admin coverage during holidays or sick days (Team player a must)
Requirements:
- Must have Bachelor's Degree
- Strong and professional presentation
- Exceptional communication skills both oral and written
- Strong experience in Microsoft Office (particularly Outlook)
- Familiarity with Concur a plus
- Tech savvy a plus (Will need to learn to use AV systems)
- Ability to work independently and follow through on assignments
- Must be flexible with regards to work hours; overtime may be required
- Must be very organized; impeccable attention to detail and the ability to multi-task
- Great attitude / Team player
Compensation/Benefits:
- 50-55K base + Paid OT + Discretionary Bonus
- Fully covered benefits
