We are seeking a Permanent Corporate/Executive Assistant to assist our General Manager & CEO. This is a fantastic opportunity to work in a fast-paced, high-energy environment where you will be the backbone of the team, providing comprehensive support to our senior executives. You will play a pivotal role in ensuring the smooth running of our daily operations and contributing to our team's success.
This role is 100% onsite and offers a competitive Base + Incentives + Benefits
Responsibilities:
As a Corporate/Executive Assistant, your key responsibilities will include:
1. Managing the complex calendars of our senior executives, scheduling meetings, conferences, and appointments.
2. Answering and redirecting phone calls in a professional and courteous manner.
3. Planning and coordinating corporate events, including conferences and golf tournaments.
4. Taking detailed notes during meetings and distributing them as required.
5. Handling check runs, expense reports, and filing to ensure financial tasks are completed accurately and on time.
6. Making travel arrangements for executives, including booking flights, hotels, and transportation.
7. Tracking renewals of contracts and subscriptions, ensuring no lapse in services.
8. Monitoring deadlines, ensuring tasks and projects are completed on time.
9. Assisting in the daily operations of the office, including managing supplies, liaising with vendors, and maintaining a clean, organized workspace.
Qualifications:
The ideal candidate will possess the following qualifications:
1. A minimum of 5 years of experience as a Corporate or Executive Assistant, preferably within the sales industry.
2. Exceptional multi-tasking and organizational skills, with the ability to prioritize tasks in a fast-paced environment.
3. Strong written and verbal communication skills, with the ability to interact professionally with all levels of the organization.
4. Proficient in Microsoft Office Suite, with a strong focus on Outlook, Word, Excel, and PowerPoint.
5. Experience in event planning and coordination, with a proven track record of successful events.
6. Knowledge of basic financial tasks, such as handling check runs and expense reports.
7. Ability to manage complex travel arrangements and schedules.
8. Experience in tracking renewals and monitoring deadlines.
9. A proactive approach to work, with the ability to work independently and as part of a team.
