About the Role:
As a Senior Technical RMA Specialist, you will be responsible for executing and managing system transactions related to product returns, RMAs (Return Merchandise Authorizations), and inventory reconciliation. This role plays a critical part in ensuring accurate processing of returns, maintaining data integrity, and supporting seamless reverse logistics operations in collaboration with internal teams and 3rd-party logistics (3PL) providers.
You will work closely with warehouse teams, customer service, and supply chain partners to track returned products, update system records, and resolve discrepancies. Additionally, you will monitor key metrics, generate reports, and support continuous improvement initiatives to enhance efficiency in returns processing and inventory management. This role requires strong attention to detail, proficiency in ERP/WMS systems, and the ability to communicate effectively across teams.
This is a hybrid position. We are looking for a candidate who is based in the Buffalo, NY area who can come into the office 3-4 days per week.
What You'll Do:
Returns & RMA Processing
- Execute and manage system transactions for returned merchandise, including RMA (Return Merchandise Authorization) creation, updates, and closure.
- Accurately process returns in the ERP/WMS system, ensuring all transactions align with inventory and accounting records.
- Coordinate with customer service, warehouse teams, and 3PL partners to ensure timely and accurate processing of returns.
Inventory Reconciliation & Data Management
- Maintain accurate records of returned products, ensuring proper tracking and reporting of return statuses.
- Reconcile inventory discrepancies related to returns, refurbishments, and product dispositions.
- Monitor and update system data for return locations, stock adjustments, and product conditions.
Collaboration with 3PL & Internal Teams
- Work closely with 3PL providers to ensure smooth returns processing, including tracking, sorting, and restocking activities.
- Communicate return-related updates to internal teams, including customer service, supply chain, and finance.
- Assist in resolving return discrepancies by investigating issues and implementing corrective actions.
Reporting & Process Improvement
- Generate reports on return trends, processing times, and inventory accuracy to support operational decision-making.
Identify opportunities for improving reverse logistics workflows and system efficiencies.
Support periodic audits and compliance checks to ensure adherence to company policies and industry regulations.
What We're Looking For:
- Bachelor's degree in business, logistics, supply chain management, or a related field.
- Proven experience in warehouse management with a focus on 3PL operations.
- Familiarity with 3PL systems and technologies.
- Knowledge of safety regulations and compliance standards.
- Communication Skills- Strong communication skills in order to collaborate with different swimlanes, and conduct business with manufacturers and 3PL
- Organizational Skills- Be able to perform several tasks at one time, keep detailed records, and manage several projects in a fast- paced environment
- Problem-solving Skills- Must handle unforeseen issues,
- Analytic Skills- Collect and analyze information, problem solve with data and make decisions.
- Minimum 3-5 years of related experience on Supply Chain or Logistics in a consumer products
- Very strong Excel Skills required
- Experience working in an ERP (SalesForce/Netsuite/Coupa)
- Knowledge of safety regulations and compliance standards in the logistics and warehouse industry.
